Print and scan inventory QR labels

A locator for an asset, not a password or approval

1. Open Inventory → List setup → Print QR labels… on the PC, or Print QR labels in the browser inventory. Select some rows first only when you need labels for those rows.
2. Choose All active items, Selected rows, By location / area, By owning department, By original source tab or One box. All refers to the current inventory list, not every project or only the rows visible on screen.
3. For a box, select Include contents to label its nested items as well. Otherwise only the matching box is labelled. Each item is included once. Archived items are excluded.
4. Review the item count and page count, then choose A4 sheets (eight labels per page) or single 70 × 40 mm labels. Generate label PDF creates all matching labels, up to 5,000. The on-screen name preview may be shorter than the full list.
5. Print at 100% / actual size. Test one label with the intended phone before printing the whole inventory. From an asset page you can still print that one item’s label.

What the label opens

The saved project and asset identity are encoded, never a password. A normal phone scan opens the asset after sign-in and access checks. A box opens its current contents; changing those contents does not require another label. Moving or renaming an item in the same project keeps its identity.

Inside an open stock verification or private task, use Scan QR instead to open that item’s verification form. The app checks that the item is inside the current scope. A box scan opens its own result, not every child result.

QR label printing requires Inventory view and export permissions. It does not change stock quantities, verification results or asset history. Keep printed labels and exported PDFs appropriate for the organisation’s data-sharing policy.
