Keep certificates with equipment

Record the supplied source without a five-step wizard

Add or edit on one page

Open Certificates → Add certificate, or open a saved record and choose Edit certificate. Enter the title, number, issuer, source revision and stated dates, then select Save certificate. No Next/Back sequence or routine review checkbox is required. New records default to Draft; choose Recorded / active deliberately when ready for date tracking.

Type, scope & conditions and Responsibility & follow-up expand only when needed. Responsibility assigns a contact, not permission or a Task. Your account, server time, version and before/after changes are recorded automatically.

Select exact equipment without losing choices

Expand Linked equipment and search by name, serial, reference or ID. Select up to 50 exact inventory records; links are optional. Searching hides rows but does not deselect them. The total selection count remains visible. Retained references missing from the current directory are explicitly labelled and kept unless you unlink them. New unavailable links may be refused by the hub; nothing silently substitutes a similarly named item.

Routine notes and genuine corrections

Editing a draft without changing its state needs no reason. Working notes, responsible person/department, due-soon window and renewal target can also be updated without a reason on a recorded or withdrawn revision. An actual note from an older saved form is retained as optional text.

Changing the state of an existing record, or correcting recorded source identity, dates, scope, conditions or equipment links, still needs a short Correction note. A source-stated next inspection date is a source field, not an administrative reminder. Replacement activation, archiving and removing an attachment retain their existing explanations and permissions. This does not remove every reason field in Wavelink.

Dates, renewal and record state

Choose Expiry not recorded, Expiry date is recorded, or Source explicitly declares no expiry. Missing dates are not inferred from issue dates. Switching expiry basis never silently clears an entered date: change the basis back or explicitly use Clear the recorded expiry date. A dated expiry requires its source date and cannot precede issue/valid-from dates.

The date status uses whole UTC calendar dates and the saved due-soon window. It is an in-app indication, not email notification or proof of fitness. Unknown expiry, an explicit no-expiry declaration and a future valid-from date remain distinct. Draft, withdrawn, archived and superseded records are not active expiry entries.

For a renewed source, use Prepare renewal / revision. The existing process creates a separate draft without copying old files as new evidence or inventing dates. Enter the new source, then use Activate replacement after its separate review. Earlier records, attachments and history remain. This update does not simplify away replacement review.

Save first, then attach the source

After the hub confirms the record save and the local form is cleaned up, its details page opens. Use Attach certificate file for the original PDF, DOCX, Excel XLSX/XLSM/XLSB/XLS/XLTX/XLTM, PNG or JPEG. The unchanged limit is 12 files per revision, 20 MB each. Attaching remains a separate connected action; this release does not add combined record-and-file upload.

Files remain unchanged. Wavelink does not execute macros, recalculate workbooks, refresh external links, verify the issuer or malware-scan attachments. Open only trusted files. Certificate viewing/export/edit permissions and exact inventory-link rules still apply. A register PDF summarises supplied information; it is not an issued certificate or approval to use equipment.

Local drafts and interrupted saves

Keep draft & close retains the local form without submitting it. Resume uses the current directory, retains available and unavailable choices visibly, and keeps its original version for conflict checking. It does not silently rebase older work on a newer saved certificate. A lost response can mean the hub saved the work: keep the unchanged request and retry, rather than creating another record.

Errors do not erase form values, earlier files or unrelated local work. A changed account, route or replacement dialog prevents a delayed directory result from opening over it. Do not clear site data or remove the installed app while work is unsent. These local drafts do not establish real-device durable-storage acceptance.

This describes the hosted browser. The installed native wizard and full PDF manual are not rebuilt by this patch. Full project backups/transfers include the register and files when that module is selected; limited inventory/checklist exports are not a full-project backup. UI34+ invitation and UI33+ attachment compatibility safeguards remain.
