Build an inventory

Create the structure before entering stock

In the browser, use Setup & builders → Inventory structure with the Build and import inventory structures permission. Administrators have this capability automatically, but administrator status is not required. The native Admin Inventory Builder remains available for its existing advanced workflow.

1. Choose Create new in Setup & builders, or open Inventory → List setup → Inventory Builder in native Admin. Enter the list name and purpose.
2. Add storage locations, one per line. Unassigned and In use are supplied automatically. Department custody uses existing project departments; manage those under Departments.
3. Add optional fields only when needed. Available types are text, number, date and dropdown choice. Item name, model, serial, asset, quantity, dates, department and location are already included.
4. Review and select Create inventory. This saves an empty list, not an imported stock count. Add items or import a prepared inventory package separately.

Back and Next retain changes inside the open wizard. Nothing is saved until Create inventory. Cancel asks before discarding unsaved builder changes. Additional-field structure is fixed after creation; locations can be added later through Locations.

Permissions

Browser creation/import needs Builders & imports → Build and import inventory structures together with its inventory dependency. An administrator can grant that capability to a Technician or Supervisor without making the person an administrator. View inventory, Add and edit items, Move items, Run stock verifications and Export reports remain separate permissions.

By default, technicians can view inventory and check stock; supervisors can also add/edit and move items. Administrators have full access. Department membership is not a substitute for an application permission.
