Manage unfinished and retained work
Record management / one reviewed administrator action at a time
Open the administration workspace
In the browser, open Administration → Record management. In desktop Admin, select Record management in the sidebar, or use Postpone / cancel / archive from Records. Choose a category, Active / open, Retained / closed or All saved records, and a name or reference. Lists show up to 100 records per page.
Postpone a checklist without pretending it is complete
Select the saved checklist and choose Postpone checklist. Enter a reason, type its exact displayed name and confirm. The checklist leaves active work with a Postponed state. Its recorded answers, evidence and audit history stay saved. No step, signature or finalisation is invented.
Bring the same checklist back
Choose Retained / closed, find the record and select Restore. Saved answers remain. Open-stage item and structure versions advance so old offline edits cannot silently overwrite the restored record. Review dates, answers and current conditions before relying on earlier work.
Keep cancellation, archiving and completion separate
Cancel unfinished work means it did not finish as planned. Archive retains completed or inactive records outside normal selection. Void identifies an incorrect log entry while preserving its history. None of these means the equipment is safe or the work was performed.
A failed connection is not proof of failure to save
Wait for the hub receipt. After an uncertain response, Retry unchanged request uses the same operation rather than repeating a different change. Inspect the saved state before starting another action. This online-only form does not automatically save its reason or clear another device's unsent work.
No blanket purge
This centre deliberately offers reversible lifecycle actions, not Delete everything. Source permissions, private handovers, frozen finalisations, stock custody and movement dependencies remain enforced. Workspaces that retain completed historical records continue to use their existing closed/archived filters.
Choose the right lifecycle action
Existing owning-service rules still decide what can change
Checklists, Tasks and maintenance
Standalone open checklists: Postpone or Cancel; finalised checklists: Archive. A task-owned checklist stays with its Task: cancel the Task rather than deleting its steps. Reopen a general Task only when fresh results and findings are appropriate; old work remains in History. Inventory-verification Tasks cannot be reopened. Open maintenance orders can be cancelled; this does not cancel a separately linked Task or release equipment.
Logs and briefing records
Archive a logbook to stop normal selection and new entries, or Void an incorrect entry. An administrator can restore the entry after review; its parent book must be active first. Open toolbox talks can be cancelled without invented acknowledgements. Finalised and cancelled talks remain historical records. Archive reusable forms separately to stop new use.
Inventory, boxes and certificates
Archive inventory items or lists only when current dependency checks allow it. Resolve open verifications, box contents, custody and shipments first. Archiving is not disposal, an adjustment or quarantine release. A certificate archive retains its actual stored dates, source links and attachments; it never renews or validates the certificate.
Manifests and sites
Only Draft or Ready manifests can be cancelled. After dispatch, record the actual receipt or return and resolve final placement. A cancelled shipment must never make in-transit equipment reappear ashore. Held stock, open shipments and enabled vessel logbooks can block site deactivation.
Handovers and originals
The centre lists only your own author-controlled handovers; administrator status does not reveal another person's private draft. Archive and restore keep revisions and acknowledgements. Original documents are archived, not permanently removed, here. Specialised permanent-deletion controls remain separate and retain their dependency checks.
Review current data, not a stale screen
Every confirmed change rechecks the account, current source access and saved revision within one transaction. A record changed after preview must be refreshed and reviewed again. There is no mass purge, automatic cascade or automatic linked-record completion.
Postpone work without losing saved results
New in 1.34.10: in Tasks, open an operational assignment and choose Assignment & status controls → Postpone task. A current administrator or designated department head with Tasks manage access confirms a reason and optional UTC review date. Submitted tasks must first be returned through their existing review.
Status → Postponed shows paused assignments outside Open work. Resume work restores the previous working status and exact saved findings/checklist results. Their original authors and times remain: review their continued relevance. Discussion and explicit reassignment remain available while paused, but saving work results and submission are locked.
Update postponement changes its reason/review date without resuming. The review date appears in the Calendar and current attention summary; it is not an automatic reminder or restart. The original due date stays unchanged unless deliberately edited through Reassign / due date.
Postpone/Resume is not Cancel/Reopen. Reopening a cancelled/completed Task still starts fresh results and preserves the previous History. A task-owned checklist stays with its Task. Inventory-verification counts are not covered by this pause workflow.
Record management → Tasks offers Postpone/Resume with its existing confirmation. No action closes a linked fault, changes inventory/custody, completes maintenance, renews certificates or authorises equipment. Save/preserve other forms before changing status; stale forms retain wording but cannot overwrite the task. Keep 1.34.10+ while postponed Tasks or local action drafts remain.
